Additional Services

Within the scope of additional services, it is mandatory to provide the following services through subcontractors authorized by IFM:

  • Infrastructure and Installation Services
  • Accreditation Services
  • Occupational Health and Safety Services
  • Handling (loading/unloading) Services
  • Security and Cleaning Services
  • Package Booth Installation Services 

Organizers are required to submit their requests to the IFM Additional Services unit at least 2 (two) weeks before the fair entry date. The main titles of the related requests are listed below:

  • Approved floor plans (layout plans) of the fairground
  • Electrical/mechanical demands (kW, air, water, wired internet),
  • Work schedule indicating the installation and dismantling times,
  • Technical host and supervisor requests,
  • Door registration/turnstile systems
  • Ambulance service


Infrastructure Installation


The subcontractor company authorized by IFM management is the only authorized company for door registration/turnstile systems services.

Fair installation and dismantling works cover planning, fair technical supervisor (One per hall on the days of installation and dismantling, one supervisor for every 4 halls on the days when the fair continues), fair technical host (Two per hall on installation and dismantling days, one per hall during the days of the fair technical host must be available).

Electrical work covers laying of electrical cables up to the stand panel, wired internet connection, stand electrical connection control per each electric panel, stand CCTV security recording system, generator, recording and audio video services.

Mechanical works cover domestic water connection, sewage connection, compressed air connection up to 5 bars, stand mechanical connection control services.

Construction works include stand static control (this service will only be provided for stands of 4 meters and above and/or 2 floors).

 

Lost Item Records/Turnstile Systems


Turnstile, VIP turnstile, computer, barcode printer, handheld terminal, kiosk, all kinds of software that will be needed during registration, supervisor technical staff, registration personnel, translator, turnstile passage direction personnel, interviewer, crowd management personnel, personnel food, badges and neck link activities are within the scope of door registration and turnstile systems services. Any software that may be needed during registration can be integrated upon the tenant's request to use their own software, after the "Software Integration Fee" is met.

The only authorized company for door registration and turnstile systems services is the subcontractor company authorized by IFM management.

 

Logistics/Handling Services


The subcontractor company authorized by IFM management is the sole authority within the scope of logistics and handling services. Entrance of equipment or personnel of the company that provides a different logistics and handling service to the area is forbidden. Participants are required to report their logistics-related requests directly to the authorized company.

Subcontractor firm authorized by IFM management to provide logistics and handling services provides all kinds of logistics equipment, personnel and operations needed during the unloading of the products/stand materials to be exhibited in the fairgrounds and their restoration after the fair.

 

Booth Installation Services


Booth installation service covers all package booth services including the provision of materials that may be needed such as furniture, electronics, decorative and lighting. Within the scope of this service, any product that may be needed at the booths are provided.

Within the scope of the booth and furniture rental service to be provided by the subcontractor company authorized by IFM management is that participating companies should forward their requests directly to the subcontractor company.

All invoice transactions within the scope of the service will be arranged directly by the subcontractor company.

 

Security Service


General security services within the scope of the fair are under the responsibility of the subcontractor company authorized by the IFM management during the allocation period of the fair area. The number of staff who will undertake the responsibility of fair security is determined by the standard criteria determined by the IFM Management.

If the number of determined security staff is found insufficient by the organizer the request to increase the number of security staff can be made with an additional fee. Standard security personnel and additional personnel fees are reflected to the organizer within the scope of “Additional Services”.

Private security service, which will be provided in line with the organizer's request, is provided by IFM in return for a determined amount and is reflected to the organizer within the scope of "Additional Services". IFM does not take the responsibility of any kind of theft, property damage, breakage, spillage in the stands where private security services are not provided during the installation/dismantling phases of the fair and during the opening hours.

There are security search detectors and x-ray devices at the fixed points of the halls. The organizer has to arrange the entrances and exits of the fair according to these fixed locations. Additional security points to be created at the request of the organizer as reflected to the organizer within the scope of "Additional Services", which includes the cost of additional door detector and x-ray daily devices.

 

Cleaning Service


Cleaning service of fair halls, foyer, exterior and other areas are covered by IFM or the company authorized by IFM during the allocation period of the fair. The number of personnel who will be responsible for the cleaning of the fair is determined by the standard criteria determined by the IFM Management.

If the determined number of cleaning personnel is found insufficient by the organizer, the request to increase the number of cleaning personnel is made against an additional fee to be paid. Standard cleaning staff and additional staff fees are reflected to the organizer within the scope of "Additional Services".

Special stand cleaning service (inside the stand cleaning), which will be met upon the request of the organizer, is provided by IFM in return for a determined amount and is reflected to the organizer within the scope of "Additional Services".

The following documents are required to be submitted by the cleaners that the booth owners or organizers have agreed for special booth cleaning (inside the booth cleaning) to enter the hall:

  • Example of tax plate of the company they are affiliated with,
  • Social Security (SGK) employment entry declaration,
  • “Tenant” approved letter showing which booth they are in charge of.

After the submission of these documents, the cleaning staff can perform their duties by taking place only in the halls they are responsible for, between 08:00 – 09:45.

The cleaning service process must be completed within the agreed time frame. The working areas of the cleaners are limited only to the stands where they are assigned.

The management of wastes such as garbage, rubble and domestic waste accumulated during the fair (installation, fair duration, dismantling and cleaning) in the fair halls, common areas and outside areas is done by IFM. Waste management fee is reflected to the organizer under “general expenses”.

Additional construction equipment, trucks, etc. that may be needed within the scope of preparing the fairgrounds used by the organizer for the next fair to be held within the body of IFM will be reflected to the organizer within the scope of general expenses.

All damages that may occur in the use of toilets in the exhibition halls and common areas and the amount determined for the consumption products used in the toilets during the entire exhibition (installation, exhibition period and dismantling) are reflected to the organizer within the scope of general expenses at the end of the exhibition.

 

Announcements


How are the announcements made in the exhibition area?

Announcements are made in the fair area in two ways.

  1. Professional voiceover of standard announcement texts,
  2. In events such as seminars and conferences, it is carried out with the staff assigned in line with the request of the organization company.


How to make an announcement?


Announcements are announced to the participants and visitors through the sound system of the fairground.


Disabled Individuals


IFM (Istanbul Expo Center) has provided all the necessary infrastructure for disabled individuals to visit and participate in fairs.

In order to enable disabled people to move freely in the fair area, necessary arrangements have been made by IFM, taking into account all the needs of individuals.
